DescriptionPosition Summary
The Grants & Contracts Manager will oversee the grant and contracts
accounting and reporting function within the organization. This
position will ensure staff have adequate training and resources to
complete their task, work closely with management, Development and
Programs staff to prepare grant budgets, maintain awards, and to
meet reporting requirements. Salary Range for the role is
$95,000-$120,000 per year.
Reportability
This position will report directly to the Controller and will
directly supervise the grant accountants.
Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to
perform each essential duty satisfactorily. Essential duties
Include, but not limited to the following:
- Support the analysis of new awards to ensure classification in
accordance with GAAP/FASB requirements and maintain awards database
- Set up new and update changes to grant/program codes in the
financial system, update user access and distribute current grants
list to all staff as needed.
- Manage the monthly grant invoicing. Review invoices prepared by
Accountants for accuracy prior to submitting to CFO for
approval.
- Maintain an organized filing system for grant & performance
contracts, checks, correspondences, invoices, grant reconciliations
and reports pertaining assigned awards.
- Participate in Grant Review Committee meetings. Collaborate
with program directors and Development staff on grant budgets.
Provide spending pattern analysis , variances updates and assist
with award extensions needed.
- Track and ensure timely submissions of reports invoices, and
renewals requests in accordance with the grant or contract
awards.
- Reconcile grant accounts monthly to confirm that all grant
revenues, expenses, accounts receivable and deferred revenues are
recorded in the appropriate months.
- Prepare Audit Schedules on Donor Restricted Awards, SEFA,
Grants AR and Program/Grant P&L reports. Attend to
grant/financial audits requirements as needed.
- Review Account Receivable Aging on a monthly basis with grant
accountants and support timely collection or correction
efforts.
- Develop and maintain procedure manuals for all grant and
contract processes, provide training for new and existing staff as
necessary.
- Supervise and support the daily work of grant accountants.
Qualifications

Education and/or Experience
- Bachelor's degree in Accounting or Finance required with
minimum of 5+ years of related experience in a non-profit
healthcare, contract/grant management setting.
- Experience in highly computerized environment, hands-on
knowledge in accounting software (Sage Intacct preferred).
- Critical, analytical, and creative thinking to identify and
solve problems. Experience with analyzing complex contract and
grants accounts.
- Excellent communication skills (verbal and written).
- Strong problem solving and technical accounting
skills.
- Ability to manage multiple tasks with extreme attention to
detail and adherence to deadlines.
- Thorough hands-on working knowledge and demonstrated skills in
matters related to accounting and financial policies, procedures,
and reporting.
- Solid understanding of U.S. GAAP/FASB required. Must be able to
work/communicate effectively in a multi-cultural team
environment
Physical Demands - Regularly required to sit; frequently required
to reach with hands and arms, walk, stoop, kneel, crouch, talk or
hear; must be able to lift objects up to twenty-five (25)
pounds.
Work Environment - Mostly in a typical office and/or remote setting
with quiet to moderate noise level. May be exposed to extreme cold,
heat, and humidity due to outside weather conditions. Opportunity
to work a hybrid schedule - remotely & onsite, as determined by
supervisor. Potential return to a full-time, onsite work
schedule.
